Our priority is to protect your rights and privacy. At PsyTell.com (“PsyTell”), protecting our users’ personal data, maintaining the highest level of privacy, and providing a transparent platform are among our fundamental priorities. This Privacy Policy forms an integral part of the PsyTell Membership Agreement and applies to all “Members” and “Visitors” who use the Platform.

‍1. Data Controller and Privacy Commitment
‍
• Data Controller:
Kadir ERTİNEL
‍
• Privacy Commitment: PsyTell represents and undertakes that information provided by Members during registration will not be used for purposes other than those specified in this Privacy Policy, shared with third parties, or sold for commercial purposes. Subject to legal obligations, your personal information is protected with the highest level of care necessary to ensure the secure operation of the Platform.

‍2. Session Privacy and the “Zero-Recording” Principle
‍
PsyTell is an intermediary service provider platform designed to enable secure interactions between mental health professionals, institutions, and Clients. Our fundamental principles regarding session security are as follows:

• End-to-End Encryption: All online sessions conducted through the Platform are encrypted using industry-standard high-security protocols, including TLS/HTTPS.
‍
• No-Recording Principle: Session content is never recorded, stored, or archived. Neither our Platform nor its users, including Professionals and Clients, can record the content of sessions. Our technical infrastructure is designed so that session content cannot be monitored or stored by third parties.
‍
• Ethical Principles: Professional and Corporate Members are required to comply with the ethical principles and confidentiality rules established by their respective professional associations.

‍3. Cookie Usage
PsyTell does not use any cookies on its website, does not host tracking cookies, and does not store persistent or temporary data in your browser, in order to maintain the highest level of user privacy and data minimization.
Our Platform does not contain advertising, marketing, or third-party analytics cookies that track user activity. Your security and privacy are more valuable to us than cookie-based tracking.

‍4. Data Collected and Purposes of Use
‍
PsyTell may process only limited categories of data in order to securely provide its services and fulfill its legal obligations:

• Account and Membership Information: First name, last name, institution name, email address, telephone number, and professional qualification documents such as diplomas, certificates, or licenses requested from Professional Members.

• Document Accuracy: The accuracy of submitted documents is critical to Platform security and public health, and responsibility for the accuracy of such documents rests entirely with the relevant Member.

• Support and Communication Records: Customer support requests and email correspondence. Where security threats, legal obligations, or allegations of ethical violations arise, system logs may be reviewed as necessary to take appropriate measures.

• Operational Technical Data: Limited technical connection records, such as IP address and basic device/browser information, may be processed to maintain system security and prevent misuse.

• Payment Information: Payment transactions are processed through trusted third-party payment providers. PsyTell never directly stores or processes your credit card information on its own servers.

5. Purposes and Legal Bases for Processing
‍
Your personal data is processed on the following legal bases:

• Provision of Services and Performance of the Agreement: Creating accounts, managing appointment processes, and processing payments.

• Security and Fraud Prevention: Protecting account security and detecting misuse of the Platform based on legitimate interests.

• Legal Obligations: Complying with statutory data retention requirements and lawful requests from authorized public authorities.

• Communication: Sending informational messages and Platform announcements where the user has provided explicit consent.

‍6. Data Sharing and Transfers
‍
PsyTell does not sell, rent, or transfer your personal data to third parties for marketing purposes. Data may only be shared in the following limited circumstances:

• Service Providers and Subcontractors: Trusted partners responsible for essential technical operations required for the Platform, such as hosting, data security, and email infrastructure. These providers are subject to strict confidentiality agreements.

• Legal Requirements: Information may be disclosed where required by law, court orders, or lawful requests from authorized administrative authorities.

• International Transfers: Due to the use of secure global cloud hosting and backup infrastructure, data may be transferred internationally and protected in accordance with international security standards and applicable Standard Contractual Clauses.

‍7. Data Retention and Deletion
‍
Therapy session content is never stored by the Platform.

Account information and legal records are retained for the periods required by applicable legislation and are deleted or anonymized after the relevant legal obligations expire or upon a request to close the account, where legally permitted.

Security logs are retained for limited periods, generally between 30 and 180 days, for the purpose of preventing potential cybersecurity threats, after which they are securely destroyed.

‍8. Data Security Measures
‍
PsyTell applies up-to-date cybersecurity technologies to protect your data:

• Data Encryption: All data transmitted during communications is protected using TLS/HTTPS, while sensitive data is stored in encrypted form within databases.

• Access Controls: Access to system data is restricted according to a “need-to-know” authorization principle, and all internal access is logged.
